What does critical-date tracking actually require?
A reliable deadline is often calculated from several fields, not copied as one date. For a renewal option, the system may need expiration, notice-window start and end, calendar or business-day convention, notice method, recipient, address, amendment state, and assigned owner.
Expiration Date -> Notice Window Rules -> Calculated Window -> Alert Schedule
If an amendment changes the expiration date, dependent workflows should update as well. A reminder set 90 days before the wrong deadline is still wrong.
Test whether the platform stores the contractual rule behind the alert, not only the final reminder date.
Why administration alerts are only as accurate as the abstract
Administration software can make incorrect data look authoritative by placing it in a calendar, dashboard, or automated task. Consider an original expiration of December 31, 2028 and an amendment extending it to December 31, 2031. If the amendment is not incorporated, the system can generate accurate alerts around an obsolete date.
Likewise, “Renewal Option: Yes” may be technically true but too incomplete to administer if the lease requires written notice within a defined window and by a defined method.
Administration cannot recover information that abstraction never captured. Evaluate the document-to-data workflow alongside the administrative interface.

Test stepped, percentage, and indexed increases. Verify current amount, effective date, frequency, base period, index, floor, cap, formula, rounding, and amendment history.
CAM and expenses
Test estimated and actual charges, pro-rata share, caps, base years, exclusions, gross-ups, controllable expenses, reconciliation periods, audit rights, and supporting documents.
A generic CAM percentage is insufficient when the lease excludes capital costs or caps controllable expenses. The platform needs operational expense data and accurately abstracted lease rules.

A correct-looking date can still fail operationally if its anchor, recipient, method, amendment state, or day-count rule is missing.
What reporting should administration software provide?
Test upcoming expirations, option deadlines, rent increases, unresolved tasks, amendments, current rent, portfolio obligations, CAM events, certificate expirations, and other critical dates.
Filter by property, tenant, region, portfolio, entity, assigned administrator, expiration period, and obligation type. Also distinguish “no obligation exists” from “the field has not been populated.”
