Do not ask only, “What is your accuracy?” Ask, “How did you calculate that number, and can you reproduce it on our documents?”

Why source traceability matters

A stronger system shows which document supplied the answer, where the supporting language appears, whether an amendment changed it, and the clause used to derive the field.

Before a demo, select 20 to 30 fields that matter to your operation. Include simple fields, dates, financial terms, rights, notice mechanics, amendment-sensitive fields, and property-type-specific provisions.
Then ask: What happens when we need a field you do not already support? The answer reveals whether the system has a fixed schema, configurable extraction, custom fields, or another extension model.
How should vendors handle amendments?
A vendor must distinguish between extracting an amendment and updating the current state of the lease. Those are different jobs.

A $100-per-lease service and a subscription platform cannot be compared until they are modeled against the same completed and reviewed workload.
What should you ask about security, ownership, and exit?
Review where documents are stored, encryption in transit and at rest, tenant isolation, role-based access, activity logging, model-training policy, subprocessors, backups, retention, deletion, and incident communication.
Then ask what happens if you leave. The contract should clarify who owns uploaded documents, extracted data, custom field definitions, export formats, export fees, post-termination retention, and deletion verification.
Evaluate the exit before the onboarding. A system can work well operationally and still create a serious problem if years of structured lease data become difficult to retrieve later.
